We are seeking a Music Publishing Administrator, Creative, with ideally 3 years' experience at a publisher, sync company, label or music supervision company, as well as a strong desire to handle all aspects of music publishing administration (licensing, copyright, royalties and film-TV pitching), to join our team of dedicated professionals.
Location: This position can be based out of Century City (CA) or Nashville (TN) on a hybrid basis.
Overview of Role: The Music Publishing Administrator, Creative, handles all aspects of music publishing administration, including licensing, copyright, royalties, and film-tv pitching.
Responsibilities:
Administrative
Maintain Synch income tracking reports
Maintain continuous income tracking reports
Enter quote and license details into Music Maestro database
Liaise with clients to confirm publisher and songwriter information
Update Music Maestro database with song splits and metadata, including IPIs, ISWCs, and release information
Ensure source and PRO registrations are complete and correct, including troubleshooting registration errors
Correspondence with royalty sources regarding statement backup and questions
Excel data cleansing for royalty and income reports
Assist with quotes and issue licenses for synchronization, print, mechanical, and other uses
Other projects and duties as assigned
Creative
Create playlists in response to briefs
Create custom samplers, playlists, and newsletters of music from our catalog
Maintain keyword database
General interaction with artists, managers, music supervisors, coordinators, and clearance professionals
Organize audio assets, album art, and track metadata
Build relationships with music supervisors, coordinators, ad agencies, and other creatives
Research & maintain production schedules for TV shows, films, ads, video games
Maintain calendar of upcoming releases
Update and maintain contact and distribution database
A successful candidate will possess the following qualifications:
1-2 years of administrative experience related to music publishing
1+ year of experience pitching for film/TV or in music supervision
Bachelor’s degree, Associate’s degree, Certificate in Music Business, or equivalent work experience; a GED or High School Diploma is required, at minimum
Knowledge of Vistex Music Maestro or iMaestro software
Strong familiarity with U.S. Copyright Law, the performing rights societies, and general music industry practices
Able to read and understand legal terminology as it applies to the music industry
Self-motivated, highly organized, detail-oriented, and creatively-inclined
Proactive self-starter, strong problem-solver, and takes responsibility/ownership of tasks
Highly organized and very detail-oriented
Thrives in a busy environment that includes hard deadlines, and can multi-task and prioritize extremely well
Anticipates needs and helps to create efficient and effective processes
Excellent written and verbal communication skills
Able to use discretion and maintain high levels of confidentiality

Able to meet deadlines quickly and accurately, multi-task, and work well under pressure with changing priorities
Excellent computer skills, including strong data entry skills (with an emphasis on accuracy) and strong proficiency with Microsoft Office applications

This is a non-exempt, overtime eligible position. Employee compensation is determined by a variety of factors including, but not limited to, employee education/training/credentials, employee work experience, work location (including if the employee will be hybrid or fully in-office), the scope and responsibilities of the role, internal peer equity, and market considerations. The expected base compensation hiring range for this position is $55,000 to $62,000 per year.
