Who we are seeking:

We’re seeking an experienced and detail-oriented Co-op Program Coordinator to join our Talent Acquisition team. The Co-op Program Coordinator will play a pivotal role in the recruitment process by scheduling interviews for co-op candidates, managing travel arrangements, overseeing Purchase Card transactions related to recruitment activities, and ensuring compliance with internal candidate eligibility and rehire checks. The successful candidate will foster a culture of continuous improvement and cross-train within TA. The ability to deliver a high level of customer experience to both candidates and internal stakeholders is required.

The ideal candidate will have a proven track record as a Coop Program Coordinator, excellent communication skills, exceptional organizational abilities, and the ability to manage complex tasks with efficiency and accuracy while prioritizing exceptional customer service.

Key Responsibilities:

1. Scheduling Interviews:

• Coordinate and schedule interviews with hiring managers, interviewers, and other stakeholders for internal and external candidates.

• Manage interview logistics, including booking rooms, arranging video or phone interviews, and coordinating with candidates and interviewers to ensure a smooth interview process.

• Communicate interview details and necessary information to all parties involved.

2. Co-op Program Events & Communication:

• Research, plan and execute co-op events across the region.

• Assist with managing the budget across each fiscal year to ensure budget aligns with events.

• Lead communications for co-op related items with supervisors and co-ops.

• Assist with co-op orientations onsite and virtual.

3. Travel Arrangements:

• Arrange travel accommodations for candidates, including flights, hotel stays, transportation, and other necessary arrangements.

• Provide detailed itineraries and travel instructions to candidates, ensuring a seamless travel experience.

• Coordinate reimbursement processes for candidate travel expenses, liaising with the finance department and candidates to process reimbursements in a timely manner.

4. Cross-Training Initiatives:

• Develop and implement cross-training programs for Recruiter Coordinators to ensure a well-rounded and skilled team.

• Create and maintain detailed Standard Operating Procedures (SOPs) for all recruiting coordination tasks, ensuring consistency and clarity in processes.

• Mentor and guide junior Recruiter Coordinator, sharing best practices and providing Coordinator as needed.

• Foster a culture of continuous improvement, identifying opportunities to enhance the recruitment coordination process and implementing best practices.

• Collaborate with team members to assess current processes, identify bottlenecks, and propose and implement solutions for increased efficiency.

5. Collaboration and Communication:

• Collaborate closely with recruiters, hiring managers, and other HR team members to ensure seamless coordination of recruitment activities.

• Communicate effectively with external vendors, candidates, and internal stakeholders to facilitate a positive experience for all parties involved.

• Serve as the primary point of contact for candidates, offering coordinators, guidance, and reassurance throughout the recruitment process.

• Gather feedback from candidates and internal stakeholders, actively seeking ways to enhance their experience.

• Anticipate and address potential challenges promptly, ensuring a positive and memorable experience for all involved.

Qualifications:

• Associate’s degree in Human Resources, Business Administration, related field preferred or equivalent experience.

• Minimum of 1 year of experience in recruitment coordination or related administrative roles.

• Strong organizational skills with excellent attention to detail and accuracy.

• Proficient in using scheduling tools, applicant tracking systems, and Microsoft Office Suite.

• Ability to handle sensitive and confidential information with professionalism and discretion.

• Excellent communication skills, both written and verbal.

• Ability to prioritize tasks, manage time efficiently, and work well under pressure.

• Customer-focused mindset with a commitment to providing exceptional candidate experiences.

Misc. Details of Role:

• Travel: 30%

o 3-8 events per year

• Hybrid work style

o 80% remote, 20% in office

• Work Location: Marysville, OH

Estimated OT/week: 5 hours
