Summary:

  • The role of the Materials Facilitator Technical Operations Partner III (also known as the Core Facilitator) include, but not limited to the following three areas:

  • 1) Patient Care: Effectively manage the Core inventory of instruments and supplies that is critical for the 25,000 OR cases, 8,000 Cathlab procedures, 21,000 EP procedures, 2,000 IR neuro procedures and 20,000 Endoscopy / Pulmonary procedures that are performed annually at HUP East, HUP West, Perelman Surgicenter and Endoscopy to proceed without interrupting the safety of patient care. This is accomplished by having a working knowledge of Instrument tracking software and Excel spreadsheets. Tasks include performing daily physical inventory of instruments in the OR cores, submitting requests for instruments sets below par, scanning those instruments back onto the shelves, replacing pars of non-used sets back on the shelves after procedures, and consistently making sure core pars are adequate for use in emergencies, and communicating issues with the appropriate clinical leadership.

  • 2) Regulatory: Physically inspecting inventory to remove damaged items and disqualified sets from inventory. Review Pars on a daily basis to either add to the core items or send back to ISC.

  • 3) Supporting other PeriOp Teams and UPHS Corporate Offices: Communicates with corporate Intervention Support Center (ISC) for any needs for more pars or instruments for immediate or next day cases. These communications are vital to prevent further delays in receiving shipment of instruments that may result in the cancellation of procedures or absence of instruments that could become a patient safety issue. The Technical Operations III also facilities service calls from nursing, physicians, and other periop support staff for issues related to ISC and instrumentation for OR cases. Requires consistent communication with IP supervisor at HUP and ISC. Also, consistent communication with nursing leadership both at entity and ISC is essential.

Responsibilities:

  • Reports t o Sterile Processing Manager

  • Responsible for picking supply, stocking inventory, gathering instrumentation and ordering supplies for surgical procedures

  • Displays adequate communication skills with PeriOp staff, management, and others

  • Modifies behavior or work schedule when necessary to achieve department goals

  • Provides assigned direction and support relating to perioperative inventory, replenishment of supplies

  • Deleting all instrument sets digital from our shelves in 6 cores across 3 buildings

  • Rescanning all sets to their designated locations often moving inventory around due to poor internal

  • Requesting and receiving instrument sets to replenish par levels for aforementioned cores

  • Determine which unused sets by nursing staff and services staff can be sent back to ISC or are required to stay on location

  • Inspect each set for sterility while conducting above behaviors

  • Assist with any emergency situation involving missing critical instrumentation or case cart and coordinate with instrument processing charge

  • Research, record, and analyze data for ongoing reports and future meetings

  • Physically inventory single instrument peel packs for every core

  • Fulfill single instrument pars with local standby inventory

  • Request inventory for remaining unfulfilled single instruments from the ISC

  • Present weekly report to missing Instrument meetings on Fridays

  • Run report for instrument sets at wrong locations, find and return them to their designated locations

  • Run report for instrument set for local redistribution, fulfilling local pars with local overages

  • Update management and Director on department projects

  • Present collected data for ongoing reports to PeriOp leadership and executives

  • Maintain updated pars and physician lines according to current needsTraining new staff on department scanning processes

  • Other duties as assigned to support the unit, department, entity, and health system organization

Credentials:

Education or Equivalent Experience:

  • H.S. Diploma/GED (Required)

  • Education Specialization:Material Service Partner/Technical Operations PartnerEquivalent Experience:

  • And 2+ years Experience in stocking and inventory

  • Other (Required)
